Who we are.

This notice explains how Aquila UW Ltd, trading as Aquila Underwriting (“Aquila”, “we”, “us” or “our”), collects, uses, stores and shares personal information in connection with its underwriting and business activities.

Information will usually be provided by an insurance intermediary, a policyholder, an insured person, a claimant or another participant in the insurance process. It may include:

• Names, contact details and professional information
• Information about risks submitted for quotation or underwriting
• Policy, premium, payment and claims information
• Information required for fraud prevention, sanctions screening and regulatory checks
• Health or other sensitive information where relevant to the risk or claim
• Correspondence and records of our dealings with brokers and other market participants

Use & Lawful Basis

Why we use personal information.

We use personal information to consider and underwrite risks, provide quotations, arrange and administer insurance, manage claims, maintain business relationships, prevent financial crime and meet legal and regulatory obligations.

Depending on the circumstances, we rely on contractual necessity, compliance with legal obligations, substantial public interest conditions relating to insurance and fraud prevention, our legitimate interests in operating and protecting our business, and consent where it is specifically required.

Sharing & Transfers

Who we share information with.

Where necessary, we may share personal information with Acrisure Eleven Network Limited, insurers, reinsurers, insurance intermediaries, claims handlers, loss adjusters, professional advisers, service providers, regulators, law-enforcement bodies and fraud-prevention organisations.

Some recipients may be located outside the United Kingdom. Where information is transferred internationally, we use an appropriate lawful transfer mechanism and safeguards required by applicable data-protection law.

Retention

We retain information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, regulatory and contractual requirements. Insurance records are normally retained for at least seven years after the relevant relationship or policy ends, and may be kept longer where a claim or legal obligation requires it.

Depending on the circumstances, you may have rights to access, correct or erase your personal information; restrict or object to its use; receive certain information in a portable form; and withdraw consent where processing is based on consent.
